We take your privacy seriously. This policy explains exactly what data we collect, how we use it, and your rights.

Section 01 — Overview

DetailOps ("we", "us", "our") operates detailops.com and the DetailOps platform, a booking and client management CRM for auto detailing businesses. This Privacy Policy explains how we collect, use, disclose, and protect information about you when you use our services.

By using DetailOps, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use our platform.

Plain English: We're based in Canada and follow PIPEDA (Personal Information Protection and Electronic Documents Act). If you're in Quebec, we also comply with Law 25. If you have European users, GDPR principles apply.

Section 02 — What We Collect

We collect information in the following ways:

Information you provide directly:

  • Account registration information (name, email address, password)
  • Business information (business name, address, phone number, logo)
  • Service and pricing information you enter into the platform
  • Client records you create or import (client names, emails, phone numbers, vehicle information, service notes)
  • Communications with our support team

Information collected automatically:

  • Log data (IP address, browser type, pages visited, time spent)
  • Device information (device type, operating system)
  • Usage data (features used, actions taken within the platform)
  • Cookies and similar tracking technologies (see Section 8)

Information from third parties:

  • Payment processing data from Stripe (we receive confirmation of payment, not your full card details)
  • Calendar data if you connect Google Calendar
  • Information from OAuth providers if you sign in with Google

Section 03 — How We Use Your Information

We use your information for the following purposes:

  • To create and manage your account
  • To provide the DetailOps booking and CRM platform
  • To process payments through Stripe
  • To send booking confirmations, reminders, and transactional emails
  • To provide customer support
  • To improve and develop our platform features
  • To detect and prevent fraud and abuse
  • To send product updates and marketing communications (you can opt out at any time)
  • To comply with legal obligations

We do not sell your data. We do not sell, rent, or trade your personal information or your clients' information to any third party for marketing purposes. Ever.

Section 04 — Who We Share Information With

We only share your data in the following limited circumstances:

Service providers who help us operate the platform:

  • Stripe — payment processing
  • AWS / Vercel / Railway — cloud hosting and infrastructure
  • Resend / SendGrid — transactional email delivery
  • Twilio — SMS reminder delivery
  • Google Analytics — anonymous usage analytics

All service providers are contractually obligated to protect your data and may only use it to provide services to us.

Legal requirements: We may disclose your information if required by law, court order, or to protect the rights and safety of DetailOps or others.

Business transfer: If DetailOps is acquired or merges with another company, your information may be transferred as part of that transaction. We will notify you before this occurs.

Section 05 — Payments & Stripe

All payment processing on the DetailOps platform is handled by Stripe, a PCI DSS Level 1 certified payment processor. When you or your clients make payments through DetailOps:

  • Payment card details are entered directly into Stripe's secure interface
  • DetailOps never stores, sees, or has access to full credit card numbers
  • We receive only payment confirmation, amount, and a tokenized reference from Stripe
  • Funds from your clients go directly into your connected Stripe account
  • DetailOps does not hold, escrow, or intermediate your funds at any point

Your money is always yours. Stripe pays out directly to your connected bank account on their standard schedule. DetailOps has no access to your Stripe balance or payout settings.

Your use of Stripe is also governed by Stripe's Privacy Policy and Stripe's Terms of Service.

Section 06 — Data Retention

We retain your data for as long as your account is active or as needed to provide services. Specifically:

  • Account data: Retained while your account is active and for 90 days after deletion
  • Booking and client records: Retained for the life of your account and 90 days after deletion
  • Payment records: Retained for 7 years as required by Canadian tax law
  • Log data: Retained for 12 months
  • Marketing data: Retained until you opt out or request deletion

When you delete your account, we will delete or anonymize your personal data within 90 days, except where we are required to retain it for legal or tax purposes.

Section 07 — Your Rights

Under PIPEDA and applicable provincial privacy laws, you have the following rights:

  • Access: Request a copy of all personal data we hold about you
  • Correction: Request that we correct inaccurate or incomplete data
  • Deletion: Request deletion of your personal data (subject to legal retention requirements)
  • Portability: Request your data in a portable, machine-readable format
  • Withdrawal of consent: Withdraw consent for data processing where consent is the legal basis
  • Opt-out of marketing: Unsubscribe from marketing emails at any time
  • Lodge a complaint: File a complaint with the Office of the Privacy Commissioner of Canada

Quebec residents: Under Quebec Law 25, you have additional rights including the right to de-indexation. Contact us at privacy@detailops.com to exercise these rights.

To exercise any of these rights, contact us at privacy@detailops.com. We will respond within 30 days.

Section 08 — Cookies & Tracking

We use the following types of cookies and tracking technologies:

  • Essential cookies: Required for the platform to function (login sessions, security). Cannot be disabled.
  • Analytics cookies: Anonymous usage data via Google Analytics to understand how the platform is used. Can be disabled.
  • Preference cookies: Remember your settings and preferences. Can be disabled.

You can control cookies through your browser settings or by using our cookie preference center (accessible via the cookie banner on first visit). Disabling non-essential cookies will not affect core platform functionality.

Section 09 — Children's Privacy

DetailOps is a business platform intended for use by adults operating auto detailing businesses. We do not knowingly collect personal information from anyone under the age of 18.

If you believe we have inadvertently collected information from a minor, please contact us immediately at privacy@detailops.com and we will delete it promptly.

Section 10 — Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will:

  • Update the "Last Updated" date at the top of this page
  • Send an email notification to all registered users
  • Display a notice within the DetailOps platform for 30 days

Your continued use of DetailOps after changes are posted constitutes acceptance of the updated policy. If you do not agree with the changes, you may delete your account.
